This tutorial guides you on how to set up ingredients within the MyLekha POS system. By following the steps, you’ll be able to define ingredient stock levels and accurately track inventory for items in your restaurant or cafe.

Step-by-Step Guide

  1. Navigate to the Item section on the left-hand menu.
  2. Select Ingredient from the Item submenu.
  3. Click the + Add new button to create a new ingredient.
  4. Define the ingredient item:
    • Enter the Name in Khmer (e.g., កែវ) and English.
    • Enter the Brand name in Khmer (e.g., កែវ).
    • Enter the Cost. For Coffee Beans, this is the unit cost per gram. If you pay $10 per 1000 grams of coffee, this cost would be 0.01.
    • Leave the Price blank.
  5. Set up Brand | Category | Unit options:
    • Click on the Organize dropdown.
    • Select a category from the Select category dropdown (e.g. Coffee).
    • Select the unit (e.g. lns or unit, for a cup.)
    • Select the brand.
  6. Set the Inventory options:
    • Click the Inventory panel to expand it.
    • Ensure that Track stock toggle is enabled.
    • Under Availability in store, check your store to make the item available in the store.
  7. Set the Show options:
    • Disable Show In POS by toggling the switch off.
    • Disable Show In Cloud by toggling the switch off.
  8. Click Create to save the new ingredient item.
  9. Repeat steps 3–8 for any other ingredients you need to define (e.g., coffee beans).
  10. Add new stock using MyLekha Dashboard:
    • On the MyLekha Dashboard, click Inventory.
    • Click Purchase.
    • Click + Add new.
    • Under Operated in store, select a store.
    • Under Supplier, select a supplier.
    • Under Employee, select an employee.
    • Click on the Select item field and select an ingredient.
    • Enter the Quantity and Received number.
    • Click + Add under Payments.
    • Select a payment type and submit.
    • Click Create.
  11. Link the ingredients to the Hot Black Coffee item:
    • Navigate to Item and select Standard.
    • Find the Hot black coffee item.
    • Click on the Hot black coffee item.
    • In the Inventory panel, enable the Has ingredient toggle.
    • In the Select item dropdown, select a cup.
    • In the Select item dropdown, select coffee beans. If the Select Item field is showing a 1.0, enter 20 for 20g of coffee beans and click Confirm.
  12. Click Update.

Tips

  • For ingredients like coffee beans where you buy in kilograms but use in grams, set the cost to the price of ONE gram rather than one kilogram.
  • Be careful to accurately enter both Quantity and Received fields when adding new stock. If you don’t specify the Received quantity, the stock will not be updated, even if you specify the Quantity that you've ordered.
  • Once you set up ingredients, set the appropriate values and click Update, the system automatically calculates the cost of the item.
